2007-8 Job Description

OFFICE MANAGER

I.                     Purpose –

The Office Manager will be a key team member, ensuring the HOLY NAMES MUSIC CENTER office functions efficiently, facilitating the strategies developed to make programs successful and to enhance the image of Holy Names Music Center in the region. 

II.                   Accountability –
1.                 
The Office Manager is directly accountable to the Executive Director.

III.                 Communication –

                       The Office Manager will:
1.                    Keep the Executive Director, informed of all initiatives,
                       deadlines and ongoing operations on a
daily basis.

2.                    Be a staff resource for the Development and Marketing Director.

3.                    Be the initial point of contact for the Board of Trustees. 
4.                    Positive interaction with customers, donors and potential donors, and the
                       musical and general community is a must.

IV.
               
Qualifications –

1.                    Documented office management experience; including, but not
       limited to:
       scheduling,
    
special events, preparation of print materials,
       acknowledgements and file tracking skills, etc.
 

2.                    Demonstrated written and oral communication skills.

3.                    Successfully pass a Washington State Patrol Background Check

4.                    Computer skills working with word processing, database,
        spreadsheets, web sites, email
 
and publishing software.


V.         The Office Manager for Holy Names Music Center will:
                  
       Acquaint him or herself with the Mission and programs          
                         of
 Holy Names Music Center
                         Develop a working knowledge of the operations of the Music Center and
                         the Music Center Office
        

VI.                Responsibilities – 
1.
  
Develop systems to create flow and efficiency

·         keep and maintain Orderly office procedures

·         keep and maintain Historical and current files

·         Provide all clerical support for the Executive Director

                2. Support staff and volunteer activities as directed by the Executive Director.

                3. The Office Manager will prepare correspondence and other products at a highly professional standard.  These will help create an increasingly broader and productive image of the Music Center as a community music school and an Inland Northwest community resource. 

                4.  Collaborate with the committees of the Board of Trustees to ensure timely task completion for activities of the Music Center.  This will include but not be limited to:

                                i.      Letters, Marketing materials, updating and creating information for the 
                        HNMC website, Overseeing the volunteer
program,                                                 
                        Producing publicity materials for all HNMC programs, Registration,           
                        Invoice resolution

                ii.      Support all activities, which position and enhance the image of Holy Names Music Center as a vital community resource. 

                iii.      Staff and assist special events and programs as planned, working with a volunteers and committees from the Board of Trustees.
